A suitable template you could use would be {{CopyrightedFreeUseProvidedThat|type the conditions you mentioned here}}. Type that into the summary textbox on the upload page, along with any other information you'd like to mention. Sorry its taken me so long to get back to you Matt. As for your question, there is no single ideal procedure for adding your images to articles. First thing though, you have to try to be as objective as possible and ask yourself whether there really is space and/or a need for your image in the article. If you're convinced of its relevence and quality, it isn't a problem to simply slot it into the article or replace a similar but inferior image. Sometimes you might find it is a good idea to leave a friendly note on the talk page to let the contributors know the reason for the replacement if it has the potential to be controversial.
